About the Role The Gift Processor and Database Coordinator supports our mission through providing front line donor support and relationship management and by becoming the in-House donor database subject matter expert. This position plays an integral role in the overall donor experience by seeing and understanding giving patterns and identifying opportunities for connection. Additional duties include interaction with donors and volunteers, generating reports for staff and board committees, and assisting with special events and projects to support the primary programs and services of our Chapter. The Details, job responsibilities may include:
Gift Processing
Input donations (both monetary and in-kind) in the donor database and administer tax receipt acknowledgement correspondence for donations within three (3) business days of receipt.
Coordinate end of year tax letters and serve as the primary liaison with donors regarding past payments, responding to individual donor inquiries through written correspondence, telephone contact, personal contact and e-mail, taking appropriate measures as directed to meet donor’s needs in a timely manner.
Prepare and transport donor deposits no less than one (1) time per week, utilizing the RMHC vehicle for transport of deposit.
Create and maintain processes on ShareDrive that documents Standard Operating Procedures and best practices for your role to serve as training and business continuity resources. Collect and compile annual donor data for Global and Chapter reporting requirements.
Complete individual and corporate matching gift applications.
Serve as the primary point of contact for TrueSense acquisition program, maintaining records, and ensuring timely acknowledgements of larger gifts.
Database Administration
Become Blackbaud certified within the first three months, maintain annual certification, and participate in ongoing training.
Serve as main administrator of cloud-based CRM (reNXT) database systems. Administrator is the onsite specialist and must perform ongoing education and product/platform development awareness and leverage that knowledge with staff members to ensure consistent and widespread use of the platform.
Ensure verity of CRM data through ongoing monitoring and cleansing, working with key development members.
Maximize database tools for stakeholder communication, data analytics and forecasting, internal reporting and goal tracking, and provide reports and information to support management team and committees as requested.
Assist Chief Philanthropy Officer and Director of Development in managing mailing lists for both internal and external direct mail campaigns and work directly with the Mailing House or communication software to ensure accurate and timely delivery.
